Arranging a birthday party for your child can be a difficult and stressful process. The right entertainer can make or break an event, so here are our top ten tips for booking great entertainment for your party. Visit the UK Entertainer Directory.

10. Book early!

Children’s entertainers (especially the good ones) book up quickly, especially on weekends. You might find it useful to have a few dates in mind when enquiring, especially if you are interested in a particular entertainer.

9. Be clear on the levels of supervision required by the performer.

Many entertainers have a specific adult to child ratio so they can ensure children are adequately supervised. It is important you can meet these requirements and you know what happens if the audience is larger than expected.

8. Are any extras included? And, do you want them?

Many performers include give-ways and presents as part of their show, or offer them as optional extras. Examples include Balloon models, photo’s, and party bags with toys and gifts. Check if there is any additional costs involved and make sure they are suitable for all the children at the party.

7. Make sure you know the performer’s requirements.

Ensure you are fully prepared by knowing what the performer needs in the way of space, power supply, furniture, etc. Check if they can perform outside and inside if it rains. A professional will probably quiz you to ensure everything is in place.

6. Make sure you are completely comfortable with the performance content.

This includes checking what age it is suitable for, performance length and details about what the performance involves. This may seem obvious, but little details such as the entertainer incorporating juggling in their act and you having a very low ceiling could cause problems on the day of the party.

5. Make sure you understand what the quoted fee does and does not cover.

Does it include VAT and travelling expenses? If extra children turn up at the party, will there be an additional cost? Are all the materials, such as presents and balloons, etc. included? Unexpected costs can bring a party to an uncomfortable climax!

4. Make sure the cancellation policy and payment details are completely clear.

Some entertainers may refund a deposit or some may take a non-refundable booking fee. Some may require the balance paid after the performance/ party or want to sort it out before the begin. Ensure you know how the payment is handled and that it is clearly laid out the contract/ confirmation letter.

3. Has the entertainer been checked by the Criminal Records Bureau?

Many professions who have regular contact with children (such as teachers) must have a CRB check. Although a self-employed children’s entertainer does not have to be CRB checked, most professional entertainers will be able to supply you with evidence that they have gone through the process.

2. Is the entertainer covered by insurance?

You should definitely ensure that the entertainer you book has Public Liability Insurance, and don’t be afraid to ask for evidence. If you are hiring a venue, you should also check insurance requirements with them. Many hotels and party venues now insist that entertainers have Public Liability Insurance.

1. Make sure you get a confirmation letter/ email or contract.

When you have agreed everything, make sure you obtain a confirmation letter or contract from the entertainer that lists all the details and costs. Most professional entertainers will do this as a matter of course and should also make all their terms and conditions available to you.
